What Does An Event Film Need?
An event film needs coverage, reliable sound and clear permissions agreed in writing, because you rarely get a second take. That requirement changes the brief, the crew and the deliverables you must lock before the day. Start with the brief form and check versions with the Every Market Calculator.
Why an event is a different brief
An event film usually records something that happens once, so the brief must accept that some shots cannot be recreated. That single opportunity changes how we rank priorities, what we choose to capture, and what we allow to be imperfect. Treat the first brief as the moment to decide what must be secured on the day.
Use the Every Market Calculator to see how the choice between filming and generating behaves as you add versions. The tool lays out published shoot ranges on one side and the computing and dubbing figures on the other, so you can compare how versions and speed change the practical options for your event.
Decide deliverables before the day. List highlights, speaker clips, full recaps and short social edits so coverage is specified in the shot design. That reduces the risk of missed assets and makes review and versioning more precise in the edit.
What we lock at the brief and treatment
We begin by asking what the piece has to do: the audience, the message, where it runs, and in which formats and languages. That is the brief, and at this stage nothing is committed and nothing is quoted. Scope, shot count and a realistic timeline come out of that conversation. See the method page.
The treatment is the cheapest point to change creative direction. We agree the story, the look and the camera language there so changes cost a conversation rather than a production pass. Use the treatment to narrow which moments and speakers matter most to the edit and to lock the visual approach.
Once the direction is set we break the sequence into directed shot sheets. Blocking, lensing and lighting are decided in writing so you know what coverage will be generated or filmed. Each shot is built from structured prompts with reference sheets and JSON driven prompt control, and what is on the shot sheets is what gets built.
Coverage, crew and technical needs
Crew and camera count are planned to match the brief. Live coverage needs moving cameras, fast setups and reliable sound capture, so a traditional shoot day commonly brings a director, camera operators, sound and lighting teams. If you need a broadcast feed, extra positions or a multicam edit, say so in the brief so we can plan for them.
Audio is not an afterthought. Performance pieces and festival stages demand mouth matching and high quality captures that are hard to fix afterwards without on the day recording. Be explicit about dedicated audio feeds, recordists and whether you need a broadcast mix or clean feeds for post.
Every project runs through the same directed pipeline, whether it is filmed or generated. The studio's creative director leads the work from first prompt to master delivery so the blocking and continuity decisions are held across every version. Deciding whether to film or to generate comes from the brief, not from a tool choice.
Permissions, rights and consent
Events raise extra rights work because many people appear on camera. When a project needs a real person's likeness or voice deliberately, documented permission must be in hand before production rather than after. That consent is agreed per project and recorded in the project agreement rather than left verbal.
Music and audio sit in different rights positions depending on whether you supply a track, use a licensed library cut or generate audio. A track has to be cleared for the use it is going into. Agree in writing who clears which tracks and for which territories as part of the contract.
Production runs on third party generative platforms, and each platform's licence affects what you may do with output. Where a platform licence limits use of a finished piece, disclose that limit and record it in the project agreement. Brand assets a client supplies are used only on that client's project, and they are not reused or trained on.
Deliverables and turnaround expectations
Decide formats and languages at the brief so the edit plan covers every placement. We deliver colour graded masters with logo lock ups in the aspect ratios the campaign needs, and those requirements are set at the start rather than discovered at delivery. State them in writing at the brief.
If you need a same day highlight or a priority recap, say so in the brief. The Every Market Calculator is useful to compare the published working day ranges for a traditional shoot with the computing days for a generated version, and to see how versions add cost or time. Remember the computing figure leaves out the studio's own work and fee.
We do not publish fixed turnaround packages, so speed and milestones are priced into the project. A project is priced from the brief and confirmed in writing before anything starts. If deadlines, milestones or penalties matter, require them to be recorded in the contract rather than relying on informal conversations.
The checklist you should ask for in writing
The six stages of our method are published so you can see where decisions land, from brief to delivery. We have not published a one page, line by line crew and equipment checklist specific to event shoots. If you need that level of detail, ask for a written checklist as part of the brief and confirmation.
Require explicit scope items in the written agreement: number of cameras and camera positions, operator hours, dedicated sound feeds and recordists, backup recording, a producer for talent and sponsor coordination, and which permits and private location fees are to be paid by whom. Private location fees can reach AED 25,000 a day and are charged separately.
Start with the brief form. The studio's creative director reads it and replies within 24 hours. That reply is where you pin down who supplies what, which permits are paid for, and what the deliverables and delivery dates will be when the price is confirmed in writing. Do not accept anything left verbal.

Common questions
- Can you record a live event that happened once?
- Our Every Market Calculator sets out that live events are a case where a traditional shoot may be necessary because it happened once and had to be filmed. Whether a shoot is required is a question we settle at the brief, not before you contact us.
- How do you handle lip sync for performances?
- We include frame accurate lip sync as part of the pipeline; it is not a fix applied afterwards. That lets a performance hold and a release run in more than one language without recasting or reshooting.
- How quickly will you reply to a brief?
- We read the brief and the creative director replies within 24 hours. The first conversation covers audience, message, platforms, formats and languages. Nothing is committed and nothing is quoted at that stage.
- Do you publish a price list for event films?
- No. We do not publish a rate card. A project is priced from the brief and confirmed in writing before anything starts. Use the Every Market Calculator to see how published shoot ranges compare as a planning tool.
- Who decides what is delivered and in which formats?
- We agree formats and languages at the brief. You receive colour graded masters with logo lock ups in the aspect ratios agreed at the brief. The deliverables are specified then and confirmed in writing in the project price.

Working on something like this?
These notes describe how the studio runs its own productions. If you have a piece that needs the same discipline, send the brief over. Nothing is committed and nothing is quoted at that stage.
